What it does
A coffee roastery does not sell one product. It buys green beans by the kilo, loses part of their weight in the roaster, mixes roasted coffee and flavours into blends, grinds and packs them, and sells them next to tea, sugar and snacks. It also roasts and grinds coffee that customers bring themselves. When all this is tracked on paper and in Excel, nobody knows the real cost of a kilo.
This system follows the coffee from the supplier to the customer. Green coffee types are recorded with their origin and the weight lost at light, medium and dark roast, so the cost of roasted coffee is calculated correctly. Roasted types, flavours such as hazelnut, cardamom and chocolate, and side products such as tea, sugar and biscuits each have their unit, expected cost, actual cost and selling price.
Blends are saved as recipes: choose roasted coffee of any roast level and flavours, set the percentage of each, and the system only accepts the recipe when the total is 100%. Before a batch is produced, the production calculator checks every ingredient and shows exactly how many kilos are missing if the stock is not enough. Each batch enters the blend stock with its number and production date.
Customer orders are created in three steps: choose the customer, add products — green, roasted, blends, flavours, side products, or a service only on the customer's own coffee — and review the discount, pickup or delivery and the total. Each product can carry services such as roasting, grinding, bag packing, premium wrapping and express delivery, each with its price, and the pricing details show the base price plus services.
Payments, order status and PDF are on the order page. Returns are recorded with the product, quantity and reason, and each return is either added back to stock or recorded as disposed, with who decided and when.
Purchases from suppliers are recorded as supply orders with green coffee, flavours and side products by the kilo, and the green coffee stock of each factory shows quantity, origin, expected and actual cost. Every factory has its own dashboard with stock value, costs and revenue.
The system is delivered in Arabic, set up with your coffee types, blends, services and prices, and your team is trained before go-live.
