School Fees with Installments, Receipts and Staff Payroll: Running a School's Money in One System
How schools can manage fee structures with installments and discounts, a cashier desk with numbered receipts, parent fee statements, staff attendance, leave, substitute periods and payroll in one system.

A school's money and people can be run from the same system as its students: fee structures per stage with installments and discounts, a cashier desk that issues numbered receipts, a fee statement every parent can see, and, on the staff side, attendance, leave and permissions, substitute periods and payroll with payslips. When fees live in a receipt book and payroll in a separate spreadsheet, the owner cannot answer two basic questions quickly: how much is still due from families this term, and what the school really costs in salaries each month.
This guide covers what to set up for fees and installments, how the cashier and parents should see the same numbers, and what the HR side of a school needs, from substitute periods to payslips.
Key takeaways
- Define a fee structure per stage or grade, split into installments with due dates, so every student's balance is calculated, not typed.
- Discounts such as siblings or staff children should be recorded as discounts, not as lower prices typed by the cashier.
- Every payment gets a numbered receipt, and the parent sees the same statement the cashier sees.
- Staff attendance, leave and permissions, substitute periods and payroll belong together, because one affects the other.
- Collection reports by stage and installment show the gap before the end of term, not after.
How should school fees be structured?
Most schools charge different fees per stage or grade, sometimes with separate items such as tuition, activities or books. A fee structure in the system records what each stage or grade pays and splits it into installments with due dates. When a student is enrolled in a grade, the structure applies, and the student's account shows what is due, what is paid and what is overdue.
Discounts
Sibling discounts, staff children, early payment or special cases approved by the owner are normal. The important part is to record them as a discount on the student's account, with a reason, rather than letting the cashier simply accept a lower amount. Otherwise, at the end of the year nobody can tell a discount from a missing payment.
| Illustrative example | Amount |
|---|---|
| Annual fees for the grade | 60,000 |
| Sibling discount 10% | -6,000 |
| Net due | 54,000 |
| Installment 1 (September) | 27,000 |
| Installment 2 (February) | 27,000 |
The numbers above are an illustrative example only; your own fees, installments and discount rules are set up for your school.
The cashier desk and numbered receipts
- The cashier searches for the student, sees the open installments and records the payment.
- The system issues a receipt with a sequential number, so missing or duplicate receipts are visible.
- The payment is recorded on the student's account, so the balance is always current.
- At the end of the day, the receipts list is the cash count the cashier hands over.
What does the parent see?
In the complete plan, the parent's portal shows a fee statement for each child: installments, payments with their receipt numbers, and the balance. This removes most of the "how much do we still owe?" calls and the disputes about a receipt that was lost at home. The portal is covered in our article on school websites and parent portals.
Collection reports for the owner
Collection reports show what was collected and what is still due, by period, stage or installment. Look at them a few weeks after each due date, not at the end of term, so the office can follow up with families while it is still easy.
HR and payroll for school staff
Staff attendance, leave and permissions
Teachers and staff have attendance records, leave requests and short permissions, approved by the right person and kept on file. Egypt's new Labour Law 14 of 2025 affects leave and other HR rules; our guide to Labour Law 14/2025 and your HR system explains what to review.
Substitute periods
When a teacher is absent, their periods need a substitute. Recording substitute periods in the system keeps the timetable covered and gives the school a fair record of who covered what.
Payroll, payslips and HR letters
Payroll is prepared in the system with a payslip for every employee, and HR letters are issued from the same records. Each employee also has a portal with a daily work page and HR requests, so leave and permission requests do not arrive on scraps of paper.
Setup checklist
- List fee items per stage or grade and decide the installments and due dates.
- Write down the discount rules and who may approve an exception.
- Load each student's opening balance from last year.
- Decide receipt numbering and who closes the cashier at the end of the day.
- Load staff, their roles and salary details, and agree leave and permission approvals.
- Limit access: the cashier sees fees, HR sees payroll, and each employee sees only their own payslip. Read permissions and audit logs.
How Nilex helps
The Complete School plan of the Nilex school management system adds fees and HR to the website, portals and academic management: fee structures with installments and discounts, a cashier desk with numbered receipts, fee statements in the parent portal, collection reports, staff attendance, leave and permissions, substitute periods, payroll with payslips, HR letters and an employee portal. The system does not process online payments or connect to accounting packages out of the box; if you need that, ask us about custom work. See the plans and the fees and HR videos on the system page, read our school management system guide, or contact Nilex.
Frequently asked questions
Can each stage have different installments?
Yes. Fee structures are set up per stage or grade, each with its own installments and due dates.
Can parents pay online?
Not out of the box. Payments are recorded at the cashier with a numbered receipt, and parents see their statement in the portal. An online payment option would be custom work.
How are sibling discounts handled?
As a discount on the student's account with a reason, so it shows in reports and is never confused with an unpaid amount.
Do employees see their payslips?
Payslips are produced for every employee, and each employee has a portal for their daily work and HR requests.
Which plan includes fees and payroll?
The Complete School plan. The website and academic plans do not include fees or HR. Student attendance is covered in our attendance guide.
