From Request to Go-Live: What Happens After You Ask Nilex for a Ready-Made System
Every step from the system page to a running system: the demo videos and plans, the request form, the team's reply, the written quotation, the first installment, setup with your data, delivery, 14 days of testing, acceptance, 30 days of free fixes and support.

After you ask Nilex for a ready-made system, the path is: the team replies to your request, we agree the scope, you receive a written quotation with the price, payment schedule and delivery time, you pay the first installment, we set the system up with your data and train your team, and we deliver. You then have 14 days to test, and after acceptance we fix any error in the delivered work free for 30 days.
Knowing the steps in advance helps you prepare the right people and data, and it lets you judge whether a software company is organised before you commit. This guide walks through each step, from the first look at the system page to support after go-live, and says what you should do at each one.
Key takeaways
- Start on the system page: demo videos with Arabic captions, screenshots, modules, who it is for, plans and FAQs.
- The request form asks for the plan, your phone or WhatsApp, and optionally your email and company; you can ask for the same system or a similar custom one.
- The team replies to every request, then sends a written quotation with price, payment schedule and delivery time.
- The first installment is due before work starts; setup uses your branches, products, prices, staff and logo, and your team is trained before go-live.
- After delivery: 14 days to test, then 30 days of free fixes after acceptance, then support under a plan or the system's yearly subscription.

Step 1: Explore the system page
Each of the seven Nilex systems has its own page with demo videos that have Arabic captions, 20 screenshots, the modules, who the system is for, the plans, the FAQs and a request form. Plan prices are shown on the page in your currency.
Use this step to answer one question: does this system cover most of how your business works? Read the FAQs closely, because they state what is included and what is custom. For example, the online supermarket system FAQ explains that online card payment can be added in a specific plan. If you are still deciding between a ready-made system and custom software, read ready-made business systems in Egypt first.
Step 2: Send the request form
The form on the system page asks for:
- The plan you are interested in
- Your phone or WhatsApp number
- Your email and company name (optional)
- Your consent
You can ask for the same system or a similar custom one built the same way. If you leave an email, you receive an email confirmation. Your request reaches the Nilex team as a lead.
Step 3: The team replies
The team replies to every request. This conversation is where you describe your business: how many branches, warehouses or centers you have, how many people will use the system, which reports you depend on today, and anything unusual about how you work. Every system works in Arabic and English and is set up around the client's way of working, so the more specific you are, the better the setup will fit.
Step 4: Scope and written quotation
We agree the scope and send a written quotation with the price, the payment schedule and the delivery time. Anything you need beyond the plan, such as extra reports or a different workflow, is written into the scope or handled later as a change request, which is quoted and agreed before it is done.
Read the quotation for three things: what is included, how payments are split, and when delivery is due. Our article on paying for a software project in installments explains the payment options in detail.
Step 5: Pay the first installment
Payment can be one payment or installments linked to dates or project stages; the first installment is due before work starts. You can pay by bank transfer, InstaPay, mobile wallet, cash at our office or cheque. Every payment gets a receipt or invoice in your client portal, where you will also follow the project from this point on. Our article on the Nilex client portal shows what you will see there.
Step 6: Setup with your data, and training
This is where the ready-made system becomes your system. The published system pages describe the setup in their own terms, for example:
- The car protection centers system is set up with your centers, services, prices, suppliers and staff, with your logo on the printed forms and reports.
- The wholesale distribution system imports your products, prices, customers and opening balances from Excel during setup.
- The school system is delivered with your school's name, logo, stages and classes.
- The real estate system is delivered with your projects, units, users and branding; its top plan includes data migration from your current files.
Your team is trained before go-live. On several systems, the FAQs also state that there is nothing to install: the system runs in the browser on computers, tablets and phones, and we host it for you. If your data is in spreadsheets today, our guide to moving data from Excel explains how to prepare it.
How long does setup take?
We do not quote one number for every case; your quotation states your delivery time. The system FAQs give typical figures:
| System | What its FAQ says |
|---|---|
| Car protection centers, car repair, coffee roastery | A single center, workshop or roastery is usually running within a week, including setup and training; larger networks depend on branches and data to import |
| Online supermarket | Usually two to three weeks, depending on how many products need uploading with photos |
| Real estate developer | Usually three to six weeks, depending on projects, units and data migrated |
| School management | About a week for the website plan; two to four weeks for the management plans, depending on student data |
Step 7: Delivery and 14 days of testing
After delivery you have 14 days to test the system and report any error. We fix it and deliver again. Test with real situations from your business, not just the happy path: a partial payment, a return, a branch transfer, a user who should not see certain pages. Our article on testing, acceptance and the free-fix period includes a checklist and explains the difference between an error and a change request.
Step 8: Acceptance and 30 days of free fixes
Once you accept the system, a 30-day period starts in which we fix any error in the delivered work free of charge. This is the time to use the system every day with your whole team, because real use surfaces the cases nobody thought of during testing.
Keep in mind the cancellation rule: if the client cancels before acceptance, half of the amounts paid is refunded; after acceptance there is no refund. That is another reason to test properly before accepting.
Step 9: Support after go-live
After the 30 days, support and maintenance are under a support plan or quoted separately. For the ready-made systems, most plans include the first year of hosting and support, and after the first year there is a yearly subscription for hosting, support and updates; the car protection and wholesale FAQs list hosting, daily backups, security updates, new features and technical support. Edit and support requests go through your client portal, and screenshots you attach to support requests stay private.
What to prepare before you send the request
- A short description of your business: branches, products or services, number of users.
- The plan that looks closest, from the system page.
- The three reports or screens you cannot work without.
- Where your data lives today: Excel, another program or paper.
- Who will decide on the quotation and who will lead testing on your side.
