What Makes a Business System Professional: The Standards Nilex Builds Into Its Systems
Ten standards that separate a professional business system from a collection of screens: two languages, a portal per role, permissions and an audit log, PDF documents, dashboards, security, data export and a real testing period, each shown in a Nilex system.

A business system is professional when it does more than store data. It works in the languages your team and customers use, gives each person the screens their role needs and nothing more, records who did what, prints documents you can hand to a customer, shows the owner the numbers without waiting for month end, protects the data, lets you take that data out, and is handed over with a real period to test and fix it.
Many systems sold in Egypt look good in a demo and fail on one of these points after a few months: the Arabic printout breaks, everyone logs in as admin, or nobody can tell who changed a price. This guide lists the standards that run across Nilex systems, with a real example from our systems and client projects for each, so you can use the same list to judge any software you buy.
Key takeaways
- A professional system follows your business rules on its own: a unit cannot be sold twice, a car cannot be marked ready before its approved parts are issued.
- Every role gets its own portal, and permissions decide what each person can see and change.
- Important actions are recorded with who did them and when, so mistakes can be traced instead of argued about.
- Documents (check-in forms, warranties, invoices, statements, reports) come out as clean PDFs in Arabic or English.
- Your data stays yours: you can export it and get a copy on request, even after the agreement ends.
- Delivery is not the end: a 14-day testing window and 30 days of free fixes after acceptance protect you.
Why do standards matter more than the feature list?
Two systems can have the same feature list, "invoices, stock, reports, users", and be completely different to live with. The difference is in the standards underneath: whether the invoice prints correctly in Arabic, whether a cashier can delete it, whether the owner can see who did. Feature lists are easy to copy into a quotation; standards only show up after you have used a system for a while.
That is why we describe our systems by the standards they share. The seven ready-made systems on our systems page serve very different sectors, from car protection centers to schools, but they are built on the same base. If you are still deciding between a ready system and custom software, start with our guide to ready-made business systems in Egypt, then come back to this checklist.
The ten standards at a glance
| Standard | What it means for you | Where you see it in Nilex work |
|---|---|---|
| 1. Arabic and English | The system works in Arabic and English | Car protection check-in forms, warranties and reports print in either language |
| 2. A portal per role | Each person sees only their own work | Real estate system: a portal for CRM, Sales, Projects, Finance, HR, Administration and Website |
| 3. Permissions | Access by role, department or branch | A branch manager sees only their own center in the car protection system |
| 4. Audit log | Who did what, and when | Car repair job card timeline; order change log in the supermarket system |
| 5. Business rules enforced | The system blocks costly mistakes | Blend recipes must total 100%; timetables block teacher and room clashes |
| 6. PDF documents | Ready-to-hand documents with your logo | PDF warranty certificates; PDF invoices sent by email in the Bashayer El Khair store |
| 7. Live dashboards | Numbers today, not at month end | Network dashboard comparing every branch side by side |
| 8. Security | Data protected on the way and at every login | HTTPS with HSTS, bcrypt passwords, lockout after 5 wrong attempts |
| 9. Data ownership and export | Your data can leave with you | Excel export in real estate reports; CSV in school reports; a copy on request |
| 10. Testing and fixes | Time to check before you accept | 14 days to test, 30 days of free fixes after acceptance |
Standard 1: Is it really bilingual?
Every Nilex system works in Arabic and English. That sounds simple, but it decides whether the system fits an Egyptian company with a mixed team and customers who expect Arabic documents. In the car protection centers system, the check-in form the customer signs, the warranty certificate and the reports print in either language. In the wholesale distribution system, statements and reports work in both. On the store side, the Anas Saleh Coffee and Bashayer El Khair stores have Arabic and English pages. We explain what real bilingual software involves in Arabic and English in one business system.
Standard 2: Does every role get its own portal?
A system where everyone sees the same menu is a system where people click things they should not. In a professional system each role gets its own screens:
- The real estate developer system has a separate portal for CRM, Sales, Projects, Finance, HR, Administration and the Website, each with its own menu.
- The car protection system gives customers a portal for their cars, services, payments and follow-ups, and technicians a portal with the jobs assigned to them.
- The wholesale system has a sales rep portal that works on a phone browser.
- The PhysioTech Clinic project has four portals: admin, doctor, patient and nutrition.
Our article on a portal for every role walks through what each of these people sees and why it cuts mistakes and phone calls.
Standards 3 and 4: Permissions and an audit log
Permissions answer "who can do this?"; the audit log answers "who did this?". You need both. In Nilex systems every user only sees what their role allows: an employee can be limited to the projects or customers assigned to them, and a client only sees their own data. In the real estate system access is the employee's role plus their department's permissions plus any personal permissions. In the car protection system each branch manager sees only their own center while the owner sees the whole network.
Important actions such as logins, changes, deletions and permission changes are recorded with who did them and when. You can see the same idea inside the operations themselves: every action in a car repair job card is recorded in its timeline, every supermarket order keeps the time of each status change, and a coffee return records who decided to restock or dispose of it and when. The deeper theory, including segregation of duties, is in our guide to user permissions and audit logs.
Standard 5: Does the system enforce your rules?
A spreadsheet accepts anything you type. A professional system knows the rules of your business and refuses what would cost you money. Examples from our systems:
- Real estate: the unit is locked while a sale is saved, so it cannot be sold twice, and the payment schedule always adds up to the contract value.
- Car repair: work starts on approved estimate lines, and a car cannot be marked ready until approved parts are issued and the odometer out is recorded.
- Coffee roastery: a blend recipe is only saved when its percentages total 100%, and the production calculator shows what is missing before a batch is produced.
- Supermarket: delivery slots have a capacity and close by themselves when full.
- School: the timetable blocks teacher and room clashes.
Standard 6: Documents you can hand to a customer
Customers judge your company by the paper they receive. Nilex systems produce documents as PDFs: the car protection check-in form and warranty certificate, Arabic PDF estimates, job cards and invoices in the car repair system, order PDFs in the coffee system, and printable customer and supplier statements with the running balance in the wholesale system. In the Bashayer El Khair store, orders come with PDF invoices sent by email. In several plans your logo and invoice details appear on every PDF.
Standard 7: Can the owner see the business today?
An owner should not wait for the accountant to know how the week went. The car protection system has a network dashboard with revenue, expenses, net profit, cars in the shop, pending bookings and low stock for every branch side by side. The car repair dashboard shows open jobs by stage and cars inside the workshop; each coffee factory has its own dashboard with stock value, costs and revenue; and the Anas Saleh Coffee dashboard follows orders, stock and daily financials. Our article on ERP reports for business owners explains which numbers to check daily, weekly and monthly.
Standards 8 and 9: Security and data you can take with you
Every page and API call in our systems goes over HTTPS with HSTS, passwords are hashed with bcrypt, an account is locked for 15 minutes after 5 wrong passwords, uploaded files are checked by their real content, and private files are only served after a permission check. Client data is handled according to Egypt's Personal Data Protection Law No. 151 of 2020, and when we host a system we take regular backups. The full list, explained in business language, is in security built into every system we deliver.
Data ownership is the other half. You own your content and data and can get a copy (for example Excel or CSV) on request, even after the agreement ends. Some exports are part of daily work: real estate reports export to Excel and school official reports print or export to CSV. We keep the source code and give you a licence to use the system; what that means in practice is in your data stays yours.
Standard 10: A real testing period and support after it
A professional handover gives you time to find problems. After delivery you have 14 days to test and report any error; we fix it and deliver again. For 30 days after acceptance we fix any error in the delivered work free of charge, and work outside the agreed scope is a change request that is quoted and agreed before it is done. How to use those days well is the subject of testing, acceptance and the free-fix period.
Around this sit the working habits that make a supplier easy to deal with: a written quotation with the price, payment schedule and delivery time, installments linked to dates or stages, and a client portal where you follow your project, invoices, payments and requests. Our systems also run in the browser on computers, tablets and phones and we host them, so there is nothing to install.
What about HR, payroll and the rest?
Standards are not modules. Whether a system includes HR, a CRM or a website depends on the sector and the plan. Several of our systems do include people management: car protection centers have attendance, overtime, advances, deductions, technician commissions and payroll, and the school system has staff attendance, leave, substitute periods and payslips. We explain why we build them in rather than leaving them to a separate app in HR, attendance and payroll inside your operations system.
How Nilex helps
- Compare a ready system against this list. Each page on our systems page has demo videos, screenshots, modules, plans and FAQs. Start with the one closest to your sector, for example the car protection centers system or the real estate developer system.
- Send the request form on that page for the same system or a similar custom one. The team replies to every request; the steps that follow are in from request to go-live.
- Need something no ready system covers? Our custom ERP service is built on the same standards.
- See them in client work on the PhysioTech Clinic case study and the other projects on our clients page, or contact us directly.
Frequently asked questions
Does every Nilex system meet all ten standards?
The shared base, Arabic and English, roles and permissions, security, browser access, data ownership and the testing and fix periods, applies to every system. Specific modules depend on the system and the plan; for example, customer and technician portals in the car protection system come with the Growing Network plan. Each system page lists what every plan includes.
Do we need to install anything or buy a server?
No. The systems run in the browser on computers, tablets and phones, and we host them for you.
Can we get our data out if we stop?
Yes. You own your content and data and can get a copy, for example in Excel or CSV, on request, even after the agreement ends.
Do we receive the source code?
No. Nilex keeps the source code and gives you a licence to use the system for your business. Your data remains yours.
What if we need a feature the system does not have?
Work outside the agreed scope is a change request: we quote it and agree it with you before it is built. Several larger plans already include custom changes to reports and workflow.
How do I check another company against these standards?
Ask to see each one working, not described: print an Arabic document, log in as a junior employee, change a price and ask where the change is recorded, and ask in writing how you get your data out. Our list of questions to ask a software company helps.
