Your Data Stays Yours: Data Ownership, Excel Export and What a Software Licence Means

Who owns the data inside your business system, how you get a copy in Excel or CSV even after the contract ends, what a software licence gives you, and the questions to ask any software company before you sign.

When you run your company on a business system, the data you put into it belongs to you: your customers, invoices, stock, employees and every record your team creates. At Nilex this is written into how we work: the client keeps ownership of their own content and data, and can get a copy of their business data, for example in Excel or CSV, on request, even after the agreement ends.

The software itself is a different thing. Nilex keeps the source code and gives the client a licence to use the system for their business. Understanding that split, data on one side and code on the other, is the most useful thing a business owner can know before signing with any software company, because it decides what you can take with you if you ever leave.

Key takeaways

  • Your data and your software licence are two separate things, and a good contract treats them separately.
  • With Nilex you own your content and data, and you can ask for a copy (for example Excel/CSV) at any time, including after the agreement ends.
  • Nilex keeps the source code; you receive a licence to use the system for your business.
  • Both sides keep each other's business information confidential, and client data is handled according to Egypt's Personal Data Protection Law No. 151 of 2020.
  • Before signing with any provider, ask five questions: who owns the data, in what format can I get it, when, who can see it, and what happens when the contract ends.

Data and code: what is the difference?

A business system has two layers. The software is the screens, the rules and the code that make a work order, an invoice or a payroll run behave the way it does. The data is what your business puts in: customer names and phone numbers, products and prices, contracts, payments, attendance records, documents and notes.

The software is built once and improved for many clients. Your data is unique to you and is the record of your business. You can replace software; you cannot recreate five years of customer history, collections and stock movements. That is why the question "who owns my data and can I take it?" matters far more in practice than "who owns the code?".

What "you own your data" means in practice

Ownership is only real if you can actually get the data out. At Nilex that means three concrete things:

  • A copy on request. You can ask for a copy of your business data in a usable format such as Excel or CSV.
  • Even after the agreement ends. The right to a copy does not disappear when the contract does. If you move to another system one day, your records go with you.
  • Your content stays yours. The texts, descriptions, images and documents you put into the system remain your content.

Many reports inside Nilex systems can also be exported directly during normal work. For example, the real estate developer system exports its sales and collection reports to Excel, and the school management system produces official reports for printing or CSV. Those everyday exports are useful for your accountant or your board; the full data copy on request is the safety net for the long term.

What does a software licence mean?

A licence is permission to use software. When Nilex delivers a system, whether one of our ready-made systems or a custom build, we keep the source code and give you a licence to use the system for your business. In plain terms:

  • You and your team use the system to run your business, with your logo, your data and your settings.
  • You do not receive the source code; the licence is for using the system in your business.
  • Your data is not part of the licence. It is yours whether the licence continues or not.

Why work this way? Because our ready-made systems are products we keep improving. On several of them, after the first year, a yearly subscription covers hosting, support and updates, and on the car protection and wholesale systems the published FAQ says it includes hosting, daily backups, security updates, new features and technical support. Keeping the code in one place is what makes that possible. If you want to understand when a ready-made system fits better than custom work, our guide to ready-made business systems in Egypt covers the trade-offs, and SaaS vs custom software compares the wider options.

Licence or code handover: which do you need?

Some companies ask for the source code because they fear being stuck. In most cases what they actually need is guaranteed access to their own data, which is exactly what the data-copy right gives. A business that wants to run and develop the software with its own in-house developers is a different case, and it should discuss that openly before any project starts. Nilex does not hand over source code, and we say so up front rather than leave it to the small print.

Confidentiality both ways

During a project you share a lot with your software company: prices, supplier terms, customer lists, how you pay staff. The software company also shares its own know-how with you. Nilex's terms keep this balanced: both sides keep each other's business information confidential.

On the data side, client data is handled according to Egypt's Personal Data Protection Law No. 151 of 2020, and our staff access it only when needed to provide, secure or support the service. Access inside the system is controlled by roles and permissions, and important actions are written to an audit log. Our article on the security built into Nilex systems explains those protections, and CRM and Egypt's data protection law covers what the law means for customer data you hold.

Where your data lives and how it is protected

Several Nilex systems state in their FAQs that they run in the browser and that we host them for you, so there is nothing to install on your computers. When Nilex hosts a system it takes regular backups. The larger plans of several ready-made systems add a private server with daily backups.

Hosting does not change ownership. When we host the system, your data sits on infrastructure we manage, but it remains yours, and the right to a copy applies whether the system is hosted on a shared setup or a private server. What happens if you leave?

Nobody signs a contract planning to leave, but the exit path is the best test of a fair agreement. With Nilex, the path is simple:

  1. Ask our team for a copy of your business data.
  2. Receive your data in a usable format such as Excel or CSV.
  3. Load it into your next system, or keep it as an archive for your accounts and records.

Moving data from spreadsheets into a system, or between systems, has its own technique: mapping fields, cleaning duplicates and checking opening balances. Our guide to ERP data migration from Excel walks through it. The same checks apply in reverse when you take data out.
