Wholesale Distribution Management System: 8 Things It Must Do for Egyptian Distributors

What a wholesale distribution system must cover for distributors in Egypt: orders with warehouse, van and rep, stock per warehouse, vans and returns, customer and supplier accounts, expenses and a rep portal.

A wholesale distribution system is the software that runs the whole order-to-cash cycle of a distributor in one place: orders from shops, the warehouse each order ships from, the van and driver that deliver it, returns, the customer's account and payments, purchase orders from factories and suppliers, expenses and reports. For distributors of electronics, home appliances, FMCG or food in Egypt, the right system is the one that follows how goods and money actually move, from the factory to the shop shelf and back to your bank account.

Most distributors start with a notebook for orders, a WhatsApp group for the drivers, an Excel sheet per warehouse and a salesman who "knows" who owes what. It works while the owner can see everything with his own eyes. It stops working with the second warehouse, the fifth van, the fortieth shop customer or the first salesman who leaves with the customer list in his head.

Key takeaways

  • Distribution is one cycle: order, stock, van, delivery, return, payment. Software that covers only one step leaves gaps between them, and money leaks in the gaps.
  • Every order should record its source warehouse, van and sales rep, so stock and responsibility are always clear.
  • Stock must be tracked per warehouse, with minimum levels, not as one total.
  • Every customer and every supplier needs an account with a printable statement and a running balance.
  • Sales reps and drivers should have their own simple portal on the phone, not access to the whole system.

Where does a distributor lose money?

  • Stock that is "somewhere". Goods left the warehouse but are not on an order, or were returned but never put back in stock.
  • Collections nobody follows. A shop pays part of an invoice in cash to the driver, and the balance is never written down.
  • Selling from the wrong warehouse. The order is taken, then the item is found only in the other warehouse, and the van goes out half empty.
  • Supplier balances in the dark. A factory order arrived half complete, but it was paid in full.
  • Expenses without approval. Fuel, tolls and small purchases paid in cash and reconciled at the end of the month, if ever.

The 8 things a wholesale distribution system must do

1. Orders with warehouse, van and rep

An order for a shop should take a minute: choose the customer and the shop branch, the source warehouse, the van and the sales rep, then add products while seeing the wholesale price and the stock available in that warehouse. Discounts by percentage or amount are calculated, and any credit the customer has is applied automatically.

2. Clear order statuses

Pending, loaded on a van, delivered, cancelled. Each status change should update stock and the van's load, so you never have to ask the driver where an order is.

3. Stock per warehouse

Quantity, minimum level and value for every item in every warehouse, with low-stock alerts on the dashboard. Our guide to ERP for distributors explains multi-warehouse stock in more depth.

4. Vans, deliveries and returns

What each van carries, what is on the road and what was delivered, plus returns recorded with product, quantity, van and customer. See how distributors control vans and returns.

5. Customer accounts and collections

Every shop has an account with orders, payments and debts, and a printable statement. Payments are allocated to open orders automatically. More in our article on customer statements and collections.

6. Purchase orders and supplier accounts

Orders to factories with shipping and discounts, received in full or in part into a chosen warehouse, and a supplier account showing what you owe. Read purchase orders with partial receiving.

7. Finance, expenses and reports

Revenue, collections, expenses with manager approval, and sales reports showing the best products and customers for any period.

8. A portal for sales reps and drivers

Each rep sees only his assigned orders with the shop address and phone, his completion rate, and submits his expenses for approval from the phone.

How to choose

  • Test a real day: take ten orders from three warehouses, load two vans, record one return and one partial payment.
  • Check that a sales rep can use his portal on an ordinary Android phone.
  • Ask how opening balances and your product list are imported from Excel.
  • Ask who hosts it, how it is backed up and how you export your data. Our guide to total cost of ownership lists the costs to compare.
  • If you need Egypt's e-invoice, check it separately; it is an integration with its own requirements, covered in our e-invoice guide.

Frequently asked questions

Is it worth it for a small distributor?

If you have more than one van or more than a few dozen shop customers, yes. The customer statements and the stock per warehouse alone usually pay for the system by stopping silent losses.

Can I keep Excel for stock and use the system for orders?

That recreates the gap. Stock should be deducted by the order itself, from the warehouse it ships from, or the numbers drift within weeks.

Can shops order online?

Yes. Shops can send wholesale requests online, and you review, approve and turn them into orders, so the website feeds the same system.

How long does it take to start?

A distributor with one warehouse can usually start within one to two weeks, including importing products and customers and training. Networks depend on the number of warehouses and the data to move.

If your distribution is growing faster than your notebook, talk to Nilex or watch the videos on the system page.
